Export Products to QuickBooks Online

The page displays the configurations list and the items which are assigned to.

If you see an empty form you need to create the configuration and add the products.

Step 1. Create Configuration

The left side contains the options to create and delete configuration(s):

  • Press the button to start creation :

Step 2. Fill the Settings Form

Then, fill out the form below:

- Specify the configuration name.

With the options opposite you can perform the following actions:

    • Save current configuration to a separate file;

    • Upload configuration from a file:

- Select the method of the exporting from the drop-down list:

a) "Create and Modify" - once the process of exporting is complete, simultaneously the new items will be created and added to the available products list on QuickBooks and the details of the existing products will be updated too.

b) "Create Only" - such method allows creating a new product positions in QuickBooks, but the existing ones will not be updated.

c) "Modify Only" - helps updating the details of the existing products in QuickBooks without creating a new records.

The "Map fields" area

This area contains the basic data of products mapping:

    1. "Item type" -specify the type of items that will be applied to the exported products on QB Online from the proposed variants:

    • - inventory, non-inventory or service;

    • The item types show how the item is used on QuickBooks Online, such as follows:

    • - inventory - these items can be purchased, stocked, and re-sold as inventory.

    • - non-inventory -as usual this type of goods is used for purchase, but don't track.

    • - service - used to track service or services that the customer charge on the purchase (for example warranty service).


Note: For the French version of QuickBooks Online available product types are NonInventory (Product) and Service.

2. "Item SKU" - select an identifier which will be used to recognize (identify) the products of the store;

3. "Item name" - choose the field for mapping during the export as the ‘product name’.

4. "Item sales description" - define the field from a list which will be used as the product description during the sale period.

The "Item Accounts" section

This area consists of the accounts which are uploaded automatically, depending on the QuickBooks user’s settings.

The drop-down list with the variants you can see in each account field. Expand it, by pressing the sign, illustrated below:

If the fields are empty - use the buttons to launch the retrieving process:

Please take a note, one option to retrieve chart of accounts refreshes all account fields at once.

  • "Inventory asset account" - account shows the current value of the inventory.

  • "Income account" - an account that records the proceeds from the sale of the items.

  • "Expense account" - an account which is used to pay the vendor for the items.

The [Verify and Save] option checks the correctness of the required details and save the configuration if everything is filled properly. In other cases, you cannot proceed.

Once the saving is successful you will be able to add the products to the newly-created configuration.

Press the relevant option in the right side of the window:

Take a note, the products will be added to the active! but not to selected configuration.

In the illustration above an active is Export products.

The expanded categories tree displays in a separate window. Choose the categories, which the products should be taken from.

Pressing ‘OK’ you confirm your selection. The configuration with the items is ready to export now.

The ‘Delete’ option in the top toolbar allows clearing the products list from the selected records:

The new configuration is shown on the left and added products on the right side of the window.

Activate the context menu to see the hidden options:

The 'Settings' section can be opened after pressing the same-named option into the active (only!) configuration field.

Click on the [Process] button to export.

The passing of the export and its results you can see in the progress bar which appears during the export running. By clicking on the [Close] button you complete the process and exit from the addon.
